Step 1: count the guests who need a seat

The most common mistake is ordering a seat for every name on the guest list. Decide how the event runs first.

Seated meal for everyone. Every guest needs a chair and a place at a table. Use the planner below.

Mix of both. Only some guests sit for the meal, and the rest use barrels and the lounge. Plan the tables for the seated group only.

Whatever the style, anyone who is eating at a table needs a chair. Count older guests, guests with small children and anyone who will sit for the speeches.

Step 2: choose 8 or 10 per table

A 6ft round table seats 8 to 10 guests, so the choice is yours.

8 per table gives more elbow room, and suits large centrepieces, plated meals and older guests. 10 per table uses fewer tables and suits a tighter space where everyone still needs a seat. The tables are the same size either way, so you can mix: for example, 10 at most tables and 8 at the table with older guests.

Use the first figure when space is tight and the second when comfort comes first. If your number sits between rows, divide by 10 or by 8 and round up, then add one chair per guest.

Worked examples

A 40-guest family dinner. Four tables at 10 per table and 40 chairs. Hire: 4 x $35 plus 40 x $6, which is $380.

A 60-guest hybrid party, with 30 guests seated. Chairs

The chair in the planner is the Americana chair, listed at $6. The product page describes it as a stylish chair for weddings, corporate events and private parties. If you want a different chair style, ask when you enquire and we will confirm what is available for your date.

Order one chair per seated guest. If you have a head table, count those seats on top of the guest tables.

Do you need extra tables?

The planner covers guest tables only. Most events also want somewhere for:

The cake
A guest book or sign-in
A kids' table

Any of these can be a 6ft round, so add one or two at $35 each if you have room. Leave out the extras if the space is tight. Tell us the footprint when you enquire and we will suggest what fits.

Where tables and chairs go

Under a marquee. Dining is the best use of covered space. Our 4m x 8m marquees suit events from 25 to 200 people and can be set up in U, L, square or rectangle layouts. Send us your table count and we will check it against the bays you are planning.

On a lawn. The 6ft rounds are described as stable on grass, slab and indoor floors. Leave enough room behind each chair for guests to sit down and stand up, and keep a clear path to the bar and the toilets.

Indoors or in a hall. The same tables and chairs work indoors. Check the loading access with the venue before the day.

Chair hire, table hire or both?

Some hosts only need part of the answer. A venue might already supply tables, so you only need extra chairs. A garden party might have tables but need more seating.
